HIPAA Compliant ASL Interpreting
Patient Confidentiality and Security
When providing ASL interpreting services in healthcare settings, protecting patient privacy is essential. While interpreters are not typically considered covered entities under HIPAA, they are expected to safeguard Protected Health Information (PHI) and maintain strict confidentiality throughout every assignment. Our interpreters adhere to professional codes of ethics, confidentiality agreements, and client-specific privacy requirements while facilitating accurate communication between patients and healthcare providers. Whether services are provided in person or remotely, we prioritize secure communication practices that support your organization’s HIPAA compliance efforts.

Corporate Information Security
Many organizations require interpreters, captioners, or service providers to sign Non-Disclosure Agreements (NDAs) before participating in meetings or projects involving proprietary information. We are experienced in working under client-specific confidentiality agreements when requested.

Healthcare organizations may request a Business Associate Agreement (BAA) when a service provider may create, receive, maintain, or transmit Protected Health Information (PHI) on their behalf. We understand the role BAAs play in supporting HIPAA compliance and are prepared to work with healthcare clients to meet applicable contractual and privacy requirements when appropriate.

Student Confidentiality and Security
Educational institutions have a responsibility to protect the privacy of student education records under the Family Educational Rights and Privacy Act (FERPA). Our ASL interpreters understand the importance of maintaining confidentiality when working in K–12 schools, colleges, and universities, where they may be exposed to sensitive academic, disciplinary, or personal information. Through professional ethics, confidentiality commitments, and careful handling of student information, our interpreting services help schools provide meaningful communication access while supporting their FERPA compliance obligations.

Professional Ethics & Code of Conduct
RID Code of Professional ConductEthical standards that help protect confidentiality, impartiality, and professional integrity.
Professional interpreters are expected to uphold rigorous ethical standards on every assignment. The Registry of Interpreters for the Deaf (RID) Code of Professional Conduct establishes principles for confidentiality, professionalism, respect, integrity, and effective communication. At Deaf Services Unlimited, we expect our interpreters to follow these ethical standards while also complying with applicable client policies and contractual confidentiality requirements. We encourage clients and providers alike to review the Code of Professional Conduct to better understand the professional responsibilities that guide interpreting services.
FAQs
Is captioning HIPAA compliant?
Captioning services can support HIPAA compliance when appropriate safeguards are in place. For healthcare environments, it is important that caption providers protect Protected Health Information (PHI) through secure processes, confidentiality commitments, and appropriate handling of patient information. Organizations should work with captioning providers that understand healthcare privacy requirements and can accommodate client-specific security expectations.
Can sessions be recorded?
Recording policies vary depending on the client, setting, and purpose of the assignment. Many healthcare appointments, legal proceedings, educational environments, and confidential business meetings prohibit recording without prior authorization. Deaf Services Unlimited does not record interpreting or captioning sessions unless specifically requested by the client and approved by all applicable parties. Clients should always obtain any necessary permissions before recording a session.
Who has access to appointment information?
Access to appointment information is limited to personnel who need the information to coordinate, schedule, support, or deliver services. Interpreters and captioners receive only the information necessary to perform their assignments, and internal access is restricted to authorized team members responsible for client support and operations.
How is student information protected?
Student information is protected through a combination of professional confidentiality practices, limited access to records, and adherence to applicable privacy requirements such as the Family Educational Rights and Privacy Act (FERPA). Our interpreters and captioners understand the importance of safeguarding academic, disciplinary, and personal student information while providing communication access in educational settings.
